The Champion Web Experience (CWE) is your administrative portal for managing the entire Champion AI platform. From user management and Champion configuration to knowledge uploads and usage analytics, CWE provides comprehensive control over your Champion deployment.

Overview

Champion Web Experience is a Vue.js-based administrative application providing:

  • Account & Organization Management: Multi-tenant administration
  • User Administration: Invitations, roles, permissions, access requests
  • Champion Configuration: Enable and configure AI Champions with tools
  • Knowledge Management: Upload and organize documentation
  • Usage & Billing: Monitor consumption and manage subscriptions
  • ERP Rapid Implementation: Accelerated onboarding workflows
  • Configuration Management: System settings and integrations

Click to access:

  • Account Selector: Switch between organizations
  • Access Requests: Request access to other accounts
  • Profile Settings: Update name, phone, avatar
  • Logout: Sign out

Core Features

1. User Management

Access: Navigation > Users

User List View

Displays all users in your organization:

Table Columns:

  • Name (first and last)
  • Email address
  • Roles assigned
  • Status (Active, Pending, Inactive)
  • Last login date
  • Actions menu (⋯)

Filtering & Search:

  • Search by name or email
  • Filter by role
  • Filter by status
  • Sort by any column

Inviting Users

Process:

  1. Click "Add User" button (top-right)
  2. Enter user information:
    • First Name (required)
    • Last Name (required)
    • Email Address (required)
    • Select one or more roles
    • Optional: Personal invitation message
  3. Click "Send Invitation"
  4. User receives email invitation
  5. User appears in list with "Pending" status

Managing Users

User Actions Menu (⋯):

  • Edit User: Modify roles or information
  • Resend Invitation: For pending users
  • Revoke Invitation: Cancel pending invitation
  • Deactivate User: Remove access
  • View Activity: See user's usage history

Access Requests

Tab: Users > Access Requests

Review and approve user-initiated access requests:

Pending Requests Show:

  • User name and email
  • Requested access level
  • Reason (if provided)
  • Expiration date (if temporary)

Actions:

  • Approve: Grant access and assign roles
  • Deny: Reject request with optional reason

2. Agent Management

Access: Navigation > Agents

Agent Gallery

Available Champions View:

Browse all Champions organized by category:

  • ERP Operations
  • Manufacturing
  • Quality & Compliance
  • Implementation

Agent Cards Display:

  • Champion name and icon
  • Brief description
  • Status badge (Available, Configured, Active)
  • "Setup" or "Configure" button

Choosing Agents

Process:

  1. Browse available Champions
  2. Click "Choose Champion" or "Setup"
  3. Review agent capabilities and requirements
  4. Click "Configure" to begin setup

Configuring Agents

Each Champion requires specific tool configurations:

Configuration Steps:

  1. Click "Configure" on required tool
  2. Fill out service configuration:
    • Display Name: Friendly name (e.g., "Default Connection for Org")
    • Description: What this config does
    • Connection Details: URL, endpoints, credentials
    • Authentication Method: OAuth, API Key, Basic Auth, etc.
  3. Click "Save"
  4. Repeat for all required tools
  5. Verify all tools show "Configured" status

Example: ERP Champion Configuration:

Required Tools:

  • ERP API Connection: Database or API endpoint
  • Read Access: Credentials for querying data
  • Write Access: Credentials for updates (if agent modifies data)
  • Authentication: OAuth2 or service account credentials

Managing Active Agents

Chosen Champions View:

See all Champions currently active in your organization:

Actions:

  • Manage: Modify tool configurations
  • Test: Verify agent functionality
  • Disable: Temporarily deactivate
  • Remove: Completely remove agent

Tool Management:

  • Reconfigure connection details
  • Update credentials
  • Test individual tools
  • View tool status

3. Knowledge Management

Access: Navigation > Knowledge

Knowledge Base Overview

Central repository for organizational documentation that augments agent responses.

Supported Content Types:

  • PDF documents
  • Microsoft Office (Word, Excel, PowerPoint)
  • Text files (.txt, .md)
  • CSV files
  • HTML files

Sources:

  • Direct file upload
  • S3 bucket integration
  • Confluence workspace
  • SharePoint integration
  • External S3 buckets

Uploading Files

Process:

  1. Click "Upload File" button (top-right)
  2. Click upload area or drag files
  3. Select files from your computer
  4. Review file list (shows name, size, type)
  5. Click "Confirm Upload"
  6. Upload progress indicator
  7. Click "Back to Knowledge" when complete

Batch Upload:

  • Upload multiple files simultaneously
  • Progress shown per file
  • Failed uploads can be retried

Managing Knowledge Files

File List View:

Table Columns:

  • File name
  • Upload date
  • File size
  • Type/format
  • Status (Processing, Ready, Error)
  • Actions (checkbox, download, delete)

Search: "Search files by name..." field for quick filtering

Actions:

Download Files:

  1. Check box next to file(s)
  2. Click "Download" button
  3. File(s) download to your computer

Delete Files:

  1. Check box next to file(s)
  2. Click "Delete" button
  3. Type delete in confirmation field
  4. Click "Delete" to confirm
  5. Files permanently removed

Deletion is Permanent

Deleted files cannot be recovered. Ensure you have backups before deleting important documentation.

Processing Status

File States:

  • Processing: Being indexed for semantic search
  • Ready: Available to Champions
  • Error: Processing failed (see error details)

Processing Time: Typically 1-5 minutes per file depending on size


4. Usage & Billing

Access: Navigation > Usage & Billing

Usage Dashboard

Metrics Displayed:

Current Month Usage:

  • Total messages/queries
  • Agent invocations
  • Tokens consumed (if applicable)
  • Cost tracking

Usage by Day (Last 30 Days):

  • Line chart showing daily usage
  • Hover for exact counts
  • Identify usage patterns

Usage by User (Last 30 Days):

  • Table ranking users by activity
  • Message counts per user
  • Helps identify power users

Usage by Agent (Last 30 Days):

  • Which Champions are most used
  • Message counts per agent
  • Popular workflow identification

Usage by Month (Last 12 Months):

  • Historical trend analysis
  • Month-over-month growth
  • Long-term planning data

Active Plans

Current Subscription:

  • Plan name (Free, Pro, Enterprise)
  • Included features
  • Usage limits
  • Billing cycle
  • Next billing date

Upgrade Requests

Process:

  1. Click "Upgrade now" button
  2. Fill out upgrade request form:
    • Phone number
    • Timezone
    • Additional details/requirements
    • Preferred contact method
  3. Click "Submit Request"
  4. Sales team contacts you to discuss options

Access: Navigation > Configuration

Agreements Management

View Active Agreements:

  • Terms of Service (accepted date)
  • Privacy Policy
  • Data Processing Agreement (DPA)
  • Custom agreements (if applicable)

Accept Agreements:

For new agreements or updates:

  1. Click agreement to review full text
  2. Read carefully
  3. Click "Accept" button
  4. Agreement marked as accepted with timestamp

When enabling Champion AI for the first time, all legal agreements must be accepted before the system can be used.

System Configuration

Toggle Champion AI:

  • Enable/disable Champion for organization
  • Requires all agreements accepted
  • Takes effect immediately

Account & Organization Management

Account Structure

Account (Company)

Account Switching

Access: Bottom-left corner > Click email > Account Selector

Process:

  1. Click your email address
  2. Click Account Selector dropdown at top of menu
  3. Select the organization you want to switch to
  4. Interface refreshes with selected organization's data

Indicator: Current organization shown in account selector

Access Requests

Users can request access to organizations they're not yet part of:

Process (for users):

  1. Click email address (bottom-left)
  2. Click "Access Requests"
  3. Click "Request Access"
  4. Select account from dropdown
  5. (Optional) Set expiration date for temporary access
  6. Click "Submit Request"

Approval Process (for admins):

  • Navigate to Users > Access Requests tab
  • Review pending requests
  • Approve or deny each request
  • Assign roles upon approval

Authentication

Login Process

Passwordless Email Authentication:

  1. Navigate to https://app.champion.ai/admin
  2. Enter your email address
  3. Click "Continue"
  4. Check your email for 6-digit OTP
  5. Enter the one-time password
  6. You're logged in

Session Management

Session Duration: Configurable (typically 8 hours)

Session Timeout:

  • Warning shown 5 minutes before expiration
  • Option to extend session
  • Auto-logout on expiration for security

Multiple Devices: Can log in from multiple devices/browsers simultaneously


Best Practices

User Management

Do:

  • Review pending invitations weekly
  • Audit user access quarterly
  • Use principle of least privilege (minimal necessary roles)
  • Remove inactive users promptly
  • Monitor access request queue

Don't:

  • Grant admin roles unnecessarily
  • Leave pending invitations for months
  • Share login credentials
  • Ignore access requests

Champion Configuration

Do:

  • Test Champion configuration after setup
  • Use meaningful display names
  • Document what each tool config does
  • Keep credentials secure
  • Update credentials when they change
  • Monitor agent usage

Don't:

  • Enable all Champions without planning
  • Use generic names like "Config 1"
  • Share tool credentials broadly
  • Leave broken configurations active

Knowledge Management

Do:

  • Organize files with clear names
  • Update documentation regularly
  • Remove outdated files
  • Monitor processing status
  • Upload source documents (not scans when possible)

Don't:

  • Upload duplicate files
  • Keep obsolete documentation
  • Use vague file names
  • Ignore processing errors

Troubleshooting

Cannot Access CWE

Problem: Login fails or CWE won't load

Solutions:

  1. Verify you're using correct email address
  2. Check spam folder for OTP emails
  3. Try different browser
  4. Clear browser cache and cookies
  5. Verify your account is active (contact admin)

Agent Not Appearing

Problem: Agent doesn't show in Agents page

Solutions:

  1. Verify Champion is enabled for your plan
  2. Check if you have permission to view agents
  3. Confirm organization settings
  4. Contact support if agent should be available

Cannot Upload Files

Problem: File upload fails

Solutions:

  1. Check file size (typically < 100MB limit)
  2. Verify file type is supported
  3. Ensure stable internet connection
  4. Try uploading one file at a time
  5. Check browser console for errors

User Invitation Fails

Problem: Cannot send user invitation

Solutions:

  1. Verify email address is valid
  2. Check email domain is verified for account
  3. Ensure you have admin permissions
  4. Verify user isn't already in organization
  5. Check for email typos
