Chatbot Features

The Champion Chatbot is your embedded conversational assistant that appears as a side panel in your business applications. This guide covers everything you need to know to use Champion effectively in your daily work.

Champion operates in two modes:

Expanded Mode: Two-panel interface with thread management and Champion selection

User Linking - Grant Access

There are times when the Champion AI system will need to request additional information from the host system in order to enhance agentic responses. To enable this enhanced Champion AI response, you will need to link your host user to your champion user. To link your user, click on the Grant Access button, and follow the flow to link your user account.

Linking the account gives the Champion platform the ability to request and update data on your behalf.

You may be required to renew a user link depending on the particular host application's auth provider configuration. In technical terms, the user linking follows the same renewal timeline as the refresh token issued by the host auth provider, so if the refresh token expires every 30 days, you must re-link your user account every 30 days

7.2. My Threads

What are Threads?

Threads = Separate conversation histories for different topics

Why Use Threads:

  • Keep work organized by topic
  • Resume conversations days or weeks later
  • Review previous queries and results
  • Share specific threads with team members

Accessing My Threads

Activate Expanded Mode:

  1. Click the "Expand" icon (top-left of chatbot panel)
  2. Two-panel interface appears:
    • Left: My Champions + Thread list
    • Right: Active conversation

Thread List (left panel):

  • Scrollable list of all past conversations
  • Auto-generated titles based on first query
  • Sorted by most recent first
  • "+ New Thread" button at top

Creating New Threads

Button: Click "+ New Thread" in thread list

What Happens:

  • Current conversation cleared
  • Fresh chat starts
  • Greeting message appears: "How may I assist you?"
  • Previous thread saved in list

When to Create New Thread:

  • Starting a different topic
  • Want to keep conversations separate
  • Switching to a different Champion
  • Beginning new work session

Switching Between Threads

Process:

  1. Click any thread in the list
  2. That conversation loads in right panel
  3. Complete history appears (all queries and responses)
  4. Can continue conversation from where you left off

Thread Titles:

  • Automatically generated from first query
  • Example: "Purchase Order Analysis"
  • Example: "Budget Variance Q4 2025"
  • Can be renamed for clarity (if feature available)

Thread Management

Thread Actions (hover over thread):

  • Click to open/resume
  • Rename for better identification
  • Delete if no longer needed
  • Pin important threads to top (if feature available)

Choosing a Champion

Process:

  1. Click "Choose Champion" link
  2. Champion selection screen appears in right panel
  3. See all available Champions as cards
  4. Each card shows:
    • Champion avatar
    • Champion name
    • Brief description
    • "Recruit this Champion" button (or "Retire" if active)

Recruiting a Champion:

  1. Find the Champion you want
  2. Click "Recruit this Champion"
  3. Champion becomes active
  4. Left panel updates to show new active Champion
  5. Welcome screen appears in right panel

Champion-Thread Linking

Automatic Linking:

  • Threads created from Champion briefings are permanently linked
  • When you open that thread later, Champion auto-highlights in "My Champions"
  • Maintains Champion context for that conversation

7.4. Champion Summary Generation (Briefings)

What are Briefings?

Briefings = Comprehensive reports generated by specialized Champions analyzing current data and providing actionable recommendations.

Not All Champions Generate Briefings:

  • Game Ready Champion: ✅ Shift briefings
  • Accounting Manager: ✅ Financial exception reports
  • Inventory Champion: ✅ Optimization opportunities
  • Purchase Order Management: ❌ (search-focused Champion)

Generating a Briefing

Prerequisites:

  1. Recruit a briefing-capable Champion
  2. Champion welcome screen appears

Process:

  1. See welcome screen with Champion description
  2. Click "Generate a briefing" button
  3. Champion analyzes current data (10-30 seconds)
  4. Comprehensive summary appears

What Champion Analyzes:

  • Current shift/period data
  • Key performance indicators
  • Identified problems and exceptions
  • Historical patterns
  • Actionable opportunities

Briefing Contents

Briefing Refresh

Frequency: Once per period (typically daily)

Expiration: Briefings expire at midnight UTC (configurable)

Regeneration:

  • After expiration, click "Generate a briefing" again
  • Champion analyzes fresh data
  • New briefing reflects current state
  • Previous briefings remain in thread history

7.5. User Linking (Champion Authentication)

What is User Linking?

User Linking = Connecting your Champion account to your host application account (ERP, Redzone, etc.) so Champions can access APIs on your behalf.

Why It's Needed:

  • Champions need your permissions to access ERP data
  • Champions create/update records as you
  • Maintains proper audit trail (your user ID in logs)
  • Respects your role-based access controls

When It's Required:

  • First time a Champion needs to access your application's APIs
  • When a Champion needs to create or modify data
  • For user-specific queries (your orders, your tasks, etc.)

First-Time Linking Flow

Trigger:

You: "Create a purchase order for supplier ABC-123"

           • Create and update purchase orders
           • Access your ERP profile information

Revoking Access

How to Disconnect:

  1. In your ERP or host application:

    • Navigate to connected applications or authorized apps
    • Find "Champion AI"
    • Click "Revoke Access" or "Disconnect"
  2. In Champion Web Experience:

    • Navigate to Configuration > Applications
    • Find linked application
    • Click "Disconnect"

What Happens After Revoke:

  • Champion loses access to that application
  • Cannot create/update records
  • Can still answer general questions
  • Must re-authorize to regain access

Security

What You Control:

  • Which permissions Champion has (defined in authorization scopes)
  • When to authorize (you must explicitly approve)
  • When to revoke (disconnect anytime)

What's Protected:

  • All actions logged under your user ID
  • Champion can only do what you can do
  • Your role-based permissions are respected
  • Cannot bypass approval workflows

Audit Trail:

  • All Champion actions attributed to you in ERP logs
  • Timestamped activity records
  • Full traceability for compliance

7.6. User Context (Plant, Location, Persona)

What is User Context?

User Context = Information about your role, location, and preferences that helps Champions provide accurate, personalized responses.

Types of Context:

Location Context:

  • Plant/Factory (which facility you work at)
  • Production Line (which line you manage)
  • Site code (warehouse or distribution center)
  • Department (Manufacturing, Finance, Purchasing)

Role Context:

  • User Persona (Line Lead, Supervisor, Manager, Operator)
  • Job Function (Purchasing, Planning, Accounting)
  • Shift (Day, Night, Weekend)

Organizational Context:

  • Entity (US operations, Canadian operations, UK operations)
  • Business Unit (Division, Department)
  • Cost Center

How Context is Captured

At the bottom of the panel:

3. Post-Response Interaction Toolbar

After each response, an interaction toolbar appears with:

Thumbs Up / Thumbs Down

  • Rate the quality and usefulness of responses
  • Helps improve Champion's accuracy over time
  • Optional comment field for detailed feedback

Copy to Clipboard

  • Copies the full text of the AI's response
  • Includes tables in tab-delimited format
  • Confirmation tooltip: "Copied to clipboard"
  • Useful for pasting into reports or emails

Regenerate Response

  • Circular arrow icon prompts a new response to the same query
  • Modification options:
    • "Simpler": Reduce technical jargon, use plain language
    • "Shorter": Provide a more concise summary
    • "More Detail": Expand with additional context
    • "Different Format": Convert to table, list, or narrative

Initiating a Briefing

Creating Linked Threads from Briefings

Important: A briefing itself is not a thread—it's an active report.

Thread Creation Triggers

A new, saved thread is created when you:

  1. Click a "Recommended action" button from the briefing

    • Example: Clicking "Supplier Overstock Analysis"
    • Creates thread: "Supplier Overstock Analysis"
  2. Type a related query in the chat input field

    • Example: Typing "Show me details on Acme Corp"
    • Creates thread: "Acme Corp Details"

Thread and Champion Linkage

Permanent Link

  • Threads created from briefings are permanently linked to the Champion
  • When you select a linked thread from the "Threads" list:
    • The corresponding Champion automatically highlights in "My Champions"
    • Visual confirmation of which AI assistant is active

Champion Context

  • Linked threads maintain Champion-specific context
  • Champion remembers previous interactions within that thread
  • Specialized knowledge and tools remain available

Briefing Regeneration

Expiration and Refresh:

  • Briefings expire daily at midnight UTC (configurable)
  • "Generate a briefing" can only be performed once per expiration period
  • After expiration, click "Generate a briefing" again for updated data
  • Each regeneration reflects the latest data from your systems
